What is it?
Duplicate Profile Management is a tool that lets you merge two individual profiles in your database together. This allows you to decide which details you would like to maintain for the final Keeper, and retain the message, invoice, and submission histories of both profiles.
How do I do it?
Find your Keeper! This is the profile that will be kept after the merge, so we strongly recommend starting here, rather than with the Duplicate profile. Under the Actions drop-down, select "Find A Duplicate" to begin.
On the following page, you will be able to search for the Duplicate. Type in at least 3 characters, and you'll be on your way! You can merge two profiles at a time, but feel free to return if you have more profiles to merge together.
Once you have chosen the Duplicate profile, the following page will let you determine the Attributes you would like to retain from the Keeper, and those you may like from the Duplicate. While Member Type Name and Status cannot merge, these are easy to edit once the merge is complete.
For every drop-down you will see a designation for which information is coming from the Keeper and which is from the Duplicate. Any adjustments you make will be highlighted in green.
Once you are satisfied with your selection, click "Merge". You will be greeted with a pop-up to remind you the merge cannot be undone. Make sure you're set, and confirm your Merge.
Upon merging, you will be able to go view your newly polished Keeper profile. And, remember, your Duplicate profile has been moved to deleted status.

I'm not seeing where to do this in our profiles. Is this only for certain users?
Hey there Gail! This is a feature on our current platform, where as it looks like you are still on the Classic platform. This is why you are not seeing it. I hope that helps clarify!

Is there a way to quickly search for duplicate profiles or do you have to do this on an individual basis? I am currently outlining a database clean-up project and merging profiles is one of these steps. Also, is there a way to reduce the occurrence of duplicates? If you take a form as a new individual on the admin side, it will give suggestions of profiles to use but it would be great if this was on the user side also.
Hey Ryan! Utilizing "Find a Duplicate" is the quick way to search for those duplicate profiles. Merging can only be done one at a time, because you cannot un-merge a profile afterwards, so it's good to do these one at a time.
I find the best way to reduce the occurrence of duplicates, if this is something you run into, is to utilize more communication options with users who are taking your Forms. Adding to your Login Labels with additional details for those folks who might not realize their email is already in the system for a reason and that they can simply reset their password can go a long way!
Logged in this morning to update some profiles, and the "find duplicate" option has disappeared from the Action list. Any advice on where it went?
Hey there Marci! "Find A Duplicate" is only an Action for Individual or Linked Profiles, not for Organizational Profiles. If you're looking at an appropriate profile and still don't see the action item, please reach out to our Help Team so we can assist!
I will reach out - because these are individual memberships - it was there but now it's gone!
When you are merging a duplicate, are you able to choose which username to keep?

Is there a reason that we can't merge duplicate Organizational profiles? Why is this only a feature for individual profiles? Thanks!
Hey Sarah! If you run into a lot of duplicate Organizational profiles, be sure to leave us feedback so we can consider implementing it as an option for them, too.
The last line of this article states that at the end of this process the "Duplicate profile has been moved to deleted status." Is there a reason the duplicate doesn't get subsumed into the Keeper? I was hoping to use this process to clean up some of the duplices in my Deleted profiles list... but the duplicates just pop back in after I merge them with the active Keeper.
I agree with Alyson Scolaro about deciding which username to keep. In my situation I "inherit" members from the related state association that processes dues for both of us. Sometimes we add members to our local association but they weren't given an email (which would normally become the user name) so we create a username based on a combination of firstname/lastname). But, said member has actually registered and attended an event of ours and has a record with their email address/username already. When I go to merge duplicate records here, while I do get the choice of keeping the subsumed profile email address and other data, I do not get to use that email address as the user name. When I try to change the fake username (no email) to the email address, it already existed in the newly deleted/subsumed profile. I'm forced to go find the deleted profile, change that user name to something different, then go back to the newly imported and keeper profile and change that user name to the saved email address.
I notice that any imported event records on profiles being subsumed do not transfer to the keeper profile. I must reimport them under the keeper profile.
