What is it?
The Media Manager is a central storage spot for your site's images/photos, documents, videos, and other files. Generally, anything displayed on your site (other than text) is a file of some type, and is stored in your Media Manager. You're able to add, delete, move, and organize your files directly through the Media Library.
How to Access
Navigate to Website > Media Manager
Uploading a new file
1. Select the folder that the file(s) should be added to, then click the "upload" button.
2. Browse your computer for 1 or more files to upload and click "ok" or "open". The file(s) will then upload.
NOTE: As a best practice, we recommend uploading files without spaces in their names. In place of spaces, use hyphens or underscores. Ex. Rather than uploading a file called "my logo.jpg", upload a file called "my-logo.jpg" or "my_logo.jpg" instead.
Adding a new folder
1. Select the parent folder in the list on the left.
2. In the text box directly to the left of the "create folder" button, type a folder name (lowercase, no spaces), then click "create folder".
The end result in this example is a subfolder (conference) within the parent folder (Media).
Move files
NOTE: Moving files that are already in use on your site will cause broken links - files will need to be reinserted after you move them in order to display/work properly.

How do we delete folders?
Hi Jill - First, it looks like you're using the MemberClicks Classic system. This documentation is for the new platform, but the relevant article for Classic is viewable here. To delete a folder in the Media Manager, first empty the folder. You can do that by moving the files into a new folder, or by deleting the files all together. Once the folder is empty, view it from the Media Manager (rather than clicking inside of the folder) and click the red Delete X to remove it. I included an example below with the red X circled.
How do we rename files or folders?
Hi Gabrielle - File and folder names are not able to be changed once created. This is because the file and folder names are used to create the image or document's path, and renaming the file or folder would 'break' any place on the site the file or image is linked. For example, I clicked on the name of an image in the Media Manager for my demo site.
/assets/images is the path to the folder the image is stored in, and img-conf-atl.jpg is the image's name. If I were to change the name of the folder or image, the image would 'break' or disappear anywhere on the site it was linked.
Rather than changing the name of an existing file or folder, you could download and rename the file on your computer, create a new folder in the Media Manager, and upload the renamed file. You would also want to reinsert the file or image anywhere it lived on the site. I hope that helps!
Thanks, Kinsey. I appreciate your description of how to do this. Essentially, that's a long way around of renaming - the result is the same, the link/image breaks. It would be great to have a rename feature, with the warning (as there is in changing a page name, for instance) that the link will have to be reinserted. Right now, if I want to rename a file, I have to 1. download it, 2. rename it in my file system, 3. reupload it, 4. change the link. That's four steps, when two would achieve the same result. I hope I'm making sense.
Gabrielle - That makes sense! I'll take the details you've included here and submit them as feedback for the Product Team so that they can evaluate whether we might be able to add the ability to rename files/folders as an enhancement in the future.
What's the upload size limit (per file)?
Hi Jen - the Media Manager upload file size limit is 25MB.
We have several audio recordings we'd like to upload for access by a certain member type. I see a single file cannot exceed 25 MB. What about total content maximum for our entire site? Is there any consequence to consider from having too much content?
Hi Wendy - We don't track the total contents in your Media Manager – just the per file limit. That said, we recommend using file hosting system specifically designed for larger file (audio, video) instead of uploading them to the MemberClicks Media Manager. Most file hosting systems will provide HTML embed code that you can paste into a MemberClicks article, which will pull the video or audio file into a page on your website. Video wise we typically recommend Vimeo or YouTube. Audio wise, SoundCloud is likely your best option. I hope that helps!
What are the accepted files for upload into the Media Manager? We would like to upload php files, but are getting a "This file type is not supported" error.
Hi Michelle - We only restrict .exe and .php files entirely from the Media Manager.
Are files able to be restricted by member type? I know I can restrict the article/page that the link to the file appears on, but what about access to the file itself?
Hi Ryan - Files and folders in the Media Manager don't currently have permissions associated. As you suggested, permissioning an Article and linking to a file works, but the file could technically be downloaded and/or shared by a member with permission to view the Article. Hi! I see it says that only .exe and .php files are restricted, but I'm getting "File type not allowed" for an iCalendar file. I made sure to take spaces out, but that didn't work. Are iCalendar files allowed?

Following up on Ryan's question from May 12, 2017, has this feature been added to MemberClicks? We offer members-only access to articles that link to candidate resume files uploaded via Media Manager. It appears these files are searchable online (Google has indexed them) and now the files are public. Any way to prevent this?
Hey Cambria! No, this feature has not been added to MemberClicks - files are not able to have permissions set on them at this time. Google will index files that are accessible to the public at any time (even if they have been placed behind a members only area later), so if you are finding that, you may want to reach out to Google to do a recrawl of your site.
Following up on the answer given to Cambria on March 25, 2019. We chose MemberClicks because we were assured our Members Only documents were indeed for members only. Are you saying that if files are linked in the Members Only area they are still indexable by Google or if someone were to share a link to that file it is still accessible by the general public?
Hey Sarah! If files are linked in a Members Only area, they remain unsearchable. However, if they are linked in a publicly accessible area prior to being put in a Members Only area, Google may have those indexed. We do not have a feature to lock down or permission files, so if you are looking to prevent file-sharing from members to others, you may want to investigate a tool that specializes in file protection.
Thanks for the information Jay. This is contradictory to what we were led to believe in our research phase of MemberClicks, and Sales indicated to us that content could be restricted. This is an essential feature. Every other platform we investigated, as well as our previous 2 hosts, had this capability to restrict access to files. I recognize that you can not prevent someone from downloading a file and sharing it, but the ability to lock access to a file via link sharing is standard. I will use the Product Feedback tool to request it as was suggested to someone back in 2017.
The way to set the hero image is soooo not ideal. We asked for the image size specs to put up our hero image, and when we use those size specs, it does not size well onto the page. It takes a lot of unnecessary time to play around with the image we want to use to make it fit and look nice. It should be a much easier process.
Are files located in a Members Only directory still available to anyone with a direct link? Also, per a response by Jay on June 10, 2019, what are some tools that specialize in file protection?
